Melissa Gamarra talked with me on the podcast about standard operating procedures. I hear you all start to yawn. Yes it sounds really boring, but its actually one of those things that, if you don’t get it right you struggle to hire staff and make your business scale.

Let’s start with an example.

I wanted to grow my business so I hired a social media freelancer. I told her what I did and asked her to manage the social media.  The freelancer had no processes as I hadn’t documented how I do things. This took a while to get documentation ready after I realised I hadn’t got any. The freelancer then did things in ways I didn’t like or didn’t approve of. However,I had not given any instructions so why would I expect her to. After my freelancer left I hired another freelancer. Same problem.

What helped me? Writing down exactly how I did it. I used a spreadsheet and went through the tasks I needed to be done and wrote each thing I did on a new line.

It would look something like:

  • Go to email
  • Find headshot
  • Save headshot in folder x
  • Update spreadsheet x with new information on headshot

Now I have processes for every person and for every task which means if I get a new freelancer they can see exactly what is happening and how. If they improve or change the process then we change the instructions.  Not only does this stop staff turnover but staff unhappiness in feeling like they can’t do the job right because they seemingly get everything ‘wrong’.

So before you do anything – make sure those processes are documented and save yourself weeks of time.
